KSeF Mandatory for All Taxpayers

As of today, the obligation to issue structured invoices via the National e-Invoicing System (KSeF) has become mandatory for almost all VAT taxpayers in Poland.

This marks a fundamental shift in invoicing practices and affects all businesses operating in Poland.

Key implications:

  • All invoices must now be issued in structured (XML) format via KSeF
  • Traditional PDF/paper invoices are no longer compliant for B2B transactions
  • ERP and accounting systems must be fully integrated with KSeF
  • New rules apply to invoice issuance, delivery, and archiving

What businesses should do:

  1. Ensure full technical readiness and system integration
  2. Verify internal invoicing procedures and workflows
  3. Train finance and accounting teams
  4. Review contracts (e.g. invoicing clauses, acceptance rules)

Non-compliance may result in penalties and operational disruptions.
